This is a full-time, permanent classified position and is represented by a union.

 

The Oregon Health Authority (OHA), Public Health Division (PHD), Adolescent, Genetic and Reproductive Health (AGRH) section in Portland, OR is recruiting for an Administrative Specialist works closely the Adolescent, Genetics, and Reproductive Health (AGRH)  management team to support the section’s operational goals and objectives.  AGRH supports the health and development of adolescents, and sexual and reproductive health across the lifespan and populations impacted by cancer or at risk from genetic conditions.

 

Most of this work may be conducted remotely at an alternate worksite with full access to the needed operating systems and technology.  However, there are times that the work will need to be conducted at the central work location listed in this announcement, the Portland State Office Building located at 800 NE Oregon Street, Portland, OR 97232. Work location can be changed at any time at the discretion of the hiring manager.

 

What will you do?
As the Administrative Specialist, you will assist the AGRH management team  and programs to provide and implement quality assurance for section-wide systems and policies, coordinate human resource activities, and prove programmatic support through logistical and procedural training and assistance.

 

Your duties will include but are not limited to, maintaining procedures and tracking systems, processing section wide logistics and operational requirements, assisting with logistical and communication coordination, providing ongoing quality assurance and maintenance for human resources processes and collaborating with the onboarding workgroup.

What are we looking for?

Requested Skills

  • Minimum requirements: two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. NOTE: One year of postsecondary education may be substituted for up to one year of the experience. 
  • Preference will be given to applicants who have experience providing multi-team, multi-program administrative support for a government or state agency, school system or health system.
  • Experience organizing and coordinating human resource processes such as coordinating interview logistics and processes, submitting background checks, maintaining confidential employee files and other confidential documentation, managing the program’s HR database, coordinating the onboarding process for new staff, and evaluating existing staff.
  • Intermediate to advanced proficiency in the functions of Word, Excel, Outlook, Adobe/Acrobat Pro, Visio, Ahlers, FileMaker, SmartSheet, and other software applications.
  • Experience developing and maintaining document and process tracking systems.
  • Experience creating, formatting, and editing complex documents.
  • Experience balancing staff and management needs and timelines in a complex interagency environment.
  • Demonstrate effective communication skills across diverse audiences
  • Experience supporting staff and programs that provide services to diverse and marginalized populations committed to working towards racial equity, shifting privilege and power away from dominant culture, and acknowledging and learning from mistakes and bias.
  • Experience promoting a culturally competent and diverse work environment.
